Build a prospect list from the customers you already won

A practical method for turning closed-won accounts into a repeatable B2B prospecting segment.

Most outbound lists are built the wrong way round. Someone opens a data tool, picks an industry and a headcount range that feel right, exports ten thousand rows, and hands them to reps who spend the quarter discovering that the list was wrong. The information needed to build a better list was already in the CRM.

Start with twenty closed-won accounts

Take your last twenty won deals, ignore the logos, and write down four things for each: what the company does, roughly how many people work there, where it operates, and which system the buyer was trying to fix. Patterns show up fast, and they are rarely the patterns in the pitch deck. A team that believes it sells to enterprise retail often discovers it sells to two-hundred-person logistics companies that just hired an operations lead.

Turn the pattern into filters, not a wish

Each observation should become a filter you can actually apply: industry, headcount band, region, and installed technology. If an observation cannot be expressed as a filter, it is a hypothesis rather than a segment. Keep those separately and test them later.

Add the signal that explains timing

Fit tells you who might buy. Signals tell you when. Headcount growth in a specific function, a new leader in that function, or a fresh technology detection all suggest a team is currently reorganising something. Working a smaller list of accounts that are moving beats working a larger list that is dormant.

Attach people, then verify before you send

Once the account list is right, attach the two or three roles that actually own the problem. Verify the work email and the dial before the first send, and label anything you could not confirm. A bounce costs more than an empty cell, because it damages the domain you need next quarter.

Keep the segment alive

A list decays from the day you export it. Treat the definition as the asset instead: companies that begin matching should enter the segment automatically, and records older than a month should be re-checked. That habit is the difference between a list you maintain and a list you rebuy.
